Record an expense Record an expense. Spent your own money on a project? Under Time and expenses, My expenses, start an expense report. A report is for one project, billed to the client, or for non-billable spending like office supplies. Choose the hotel, and give it a label if you like. Then add the receipt: photograph it with your phone, or drop in scans and photos from your computer, several at once. Here, a lunch receipt from the site visit. The receipt is read for you: the vendor, the amount and the date, ready to check and correct. Choose the category, here read as meals, and whether you paid or the company card did. A note says what it was for. Save the line, and it joins the report, with the total owed to you. When every line has its file, vendor, amount and date, submit the report. Until then the report is yours alone. Now it waits for a decision. Your approver sees it in the expense queue, with the receipt, and approves it, or returns it with a note saying what to fix. Back on your side, the report shows it approved, and when you’ve been paid back, it says paid. The report’s PDF has every receipt, for your records. That’s an expense, recorded.
