Ask the AI
Questions about a project, answered from its own records.
Ask the project AI
A side panel that answers questions from one project's records and nothing else.
Where On a project: Ask the project AI at the top of the Overview, beside Edit project, and in the toolbar of Specify
On a project, Ask the project AI opens a side panel that answers questions from that one project's records and nothing else. Escape closes it.
What it reads
- Specifications with totals by area, category, status and supplier;
- areas, room types, notes, meetings and document titles;
- the brief, the accepted concept and what its deck says (Concept);
- for each item, its client approval, the orders it is on, what has arrived and any open claim — so what arrived damaged? is answered from the receiving records.
Money is in the answers only for those who may see it. Someone who may not see prices gets the same answer with the amounts taken out.
Keeping and sharing answers
Every answer is kept under Your earlier questions. Share with the project puts one under Shared with the project for colleagues who may see as much money as the person who asked, so the same question is not asked twice.
Clients and contractors do not have the panel or the shared answers.
Switching it on and off
Ask the project AI is switched on per portal by the site administrator and can be switched off under Settings → Work → Modules.
On the demo portal it answers from the project's own figures without an assistant, and says so under each answer: every part of the question (what a meeting you point at with @ decided and left open, the late items by name, the margin for this project and any you point at, what waits on the client). The Ask box shows the visitor's own AI actions, as the demo bar does.
Ask from the home page
One question across every project you may see — and the assistant can offer to do things.
Where Ask, beside the search box on Home
The home page carries an Ask button beside the search box, for everyone at the firm with the Use Ask AI right (never a client or contractor, whatever the grid says). It opens a side panel like a project's: one question across every project the person may see, and only those.
- Money only for those with See project money.
- The firm's totals only for those with See the firm's money.
- Never another portal's records.
Answers cite each project and item as a link. Every question is kept under Your earlier questions, and Escape closes the panel.
When you ask it to do something
When a question asks for something to be done — write this down, remind me, open that project — the assistant answers and then offers the action for you to confirm:
- a note written out — edit it, then Add the note;
- a task with a title — Add the task;
- Open the project.
Nothing is written until you say so, and your seat's rights decide what is offered.
A client seat gets the box only if the firm grants the right to the Client role, over their own projects, without notes or tasks. On the demo the answer is built from the records without an assistant.
Pointing at something with @
Type @ in either Ask box to bring a project, item, specification or meeting into the question.
- In either Ask box — the home page's or a project's — type @.
- Pick a project, a library item, a specification or a meeting, as in a brief's notes (The brief). For example: what palette did @Larkin Hotel use?, would @Oak Lounge Chair suit this lobby?
- What you point at shows as a chip under the box (× takes it off) and goes with the question.
What goes with the question
- a library item or a specification — in full;
- a meeting — as its takeaway, decisions and open questions;
- a project — only as its areas, room types, direction, palette and materials, never its item list.
Only records you may see go: a project outside your list is left out. The answer names each as you wrote it, linked to the record.
